Overview
It's common for a business to have different products or services that merit allowing a single agent to book conversationally to different calendars. This is easier than ever with CloseBot. Let's look at a few different ways that you could do this.
Agent Node
When booking with an Agent Node, you can just explain which calendar you want your Agent to book to by telling it to book to a certain calendar depending on what the contact needs.
In the example below, we give it instruction on which calendar to book to by determining the service they want and defining which Calendar name the agent should book for each service.
True/False or Switch
If your preference is to build using a linear layout, using a branch action like True/False or Switch can allow the conversation's logic to determine which calendar your contact will book to.
Below you can see that a law office books to different calendars based on what service the contact is looking for. The Objective will find out why the contact reached out, then based on their answer, the Switch will send them into the correct Booking Action.
Custom Scenarios
Another way to get your agent to conversationally book to different calendars is to use a custom scenario that's looking for a customer's intent to book on a specific calendar. Connect each custom scenario to the appropriate calendar, making sure to add objectives prior to allowing a booking for things like email and name (that may be required by your system before an appointment can be booked.
How to Choose
Choosing different ways of booking to multiple calendars can be important to how you wish for your flow to work as they will react differently in different situations. Below are some of the considerations you can make while setting up your agent.
Agent Node - Agent Node booking is the most versatile of all of the booking actions. This method can allow for you to book multiple appointments for the same person - useful for Med Spas, dog trainers, kid's programs and much more. Instead of trying to build Switch logic for signing up 3 kids into different karate classes, you can prompt the agent node to book each kid depending on their age.
Custom Scenario - Custom scenarios listen for a specific thing to be mentioned within the conversation. When that is mentioned, the contact will move to the custom scenario and follow the path after that scenario. This is useful when you have reoccurring business from customers as it allows for the contact to come back and say they would like to book again. You should consider using this if you have a massage parlor, nail salon or mechanic shop which has customers return monthly or quarterly.
True/False or Switch - This is best used for people who would book with you once. Typically this would be the preferred method for an initial sales call where you want to offer a phone call or a zoom meeting, or are asking someone if they would like an in-person meeting or virtual. This set up is used most often when you want the AI to get in, qualify and get out really quickly.
There are many situations where you could use any of these or a combination of all of them. CloseBot allows you to be in control of exactly how your agent books.
