1 Key Concepts at a Glance
CloseBot V2 is built around a few core features that make it easy to build and scale AI-powered agents for lead qualification and booking. Sources are the origin of incoming messages — this includes integrations like HighLevel, LeadConnector, HubSpot, and more that are coming soon. AI Providers allow you to connect your own API keys for models such as OpenAI, Anthropic, Gemini, and DeepSeek, with Grok support on the way.
Personas define the “voice” and role your AI agent will take on when interacting with leads, helping ensure the experience feels aligned with your brand or industry. AI Workflows determine the logic and sequence of actions your agent will follow — from asking qualifying questions to booking appointments.
Together, a Persona and an AI Workflow form an Agent, which you can assign to specific sources and clients. To power your agent’s responses, the Knowledge Library lets you upload content like web scrapes, notes, and documents (PDF, CSV, Excel) that are automatically referenced during conversations.
Finally, the Dashboard gives you real-time insight into your agency’s usage and revenue, breaking down key metrics like user seats, tokens, and message volume so you can track what’s driving the most value.

2 Getting Started — End‑to‑End Walkthrough
To get started in CloseBot V2, you’ll follow a simple build process. First, you can optionally add a Source like HighLevel LeadConnector or HubSpot, though it’s not required to begin building. Next, if you’re on an agency plan, connect your AI Providers by entering your API keys for models like OpenAI or Anthropic. Then, create a Persona that defines your agent’s voice and tone, and build an AI Workflow using drag-and-drop logic blocks.
Combine these into an Agent, assign it to one or more Sources, and activate it. To enhance the agent’s responses, upload content to the Knowledge Library via notes, files, or web scraping, and link the content to specific Sources. Finally, use the Builder Test Tab to simulate interactions before going live, and monitor real conversations in the Conversations tab.
2.1 Add a Source
Sources are where messages are coming from and being sent to. Have a CRM already? That's your source. CloseBot doesn't yet have its own CRM capabilities, so you need an external CRM like GoHighLevel or HubSpot (or something else) to start automating your lead qualification.

Select HighLevel LeadConnector or HubSpot.

Tip: You don't have to do this first. You can build agents first, come and add a source and connect it to your Agent later.
2.2 Connect AI Providers (Agency Plans)
Agency plans have fine-tuned controls over re-billing. This means you need to gather your own API key from one or multiple AI Providers (Like OpenAI or Anthropic) and save that within CloseBot. Think of this as the fuel for your AI Agent team 💪🤖
AI Providers - Agency accounts are the only accounts with the ability to connect custom AI Providers (ex. OpenAI, Anthropic). Business accounts use the CloseBot AI Providers and we bill you for usage.
Navigate to AI Providers ▷ Add New AI Provider.
Paste your API key for each model you plan to use.
Save.

2.3 Create a Persona
A persona is like the "person" you are hiring to do a job. Martha Stewart will likely make a better front desk concierge than Snoop Dogg, for example... but there's only one way to find out! Make different personas and test to see how they perform in their job role(s). One persona can handle multiple jobs (AI Workflows)

Open Agents ▷ Personas ▷ New Persona.
Define the name, tone, and other settings
Save; it appears in your roster.

2.4 Build an AI Workflow
AI Workflows are the jobs that need to be done by personas. This is the fun part (well, it's all quite fun). Different actions cause the Agent to do and say different things. Check the library for information about all of the different action types.
Workflows - This is the job that your Agent needs to do. Think of this as the script that the persona should follow
Go to Agents ▷ Workflows ▷ New Workflow.
Drag‑and‑drop blocks to define messages, conditions, and actions.

2.5 Assemble an Agent
Once you have created a persona and an AI workflow, combine the two within the AI workflow settings. Combining a persona and a flow is like hiring the persona to do that job.
In the desired workflow click Settings
Choose a Persona
Save and Publish
2.6 Add Knowledge
The knowledge library holds the list of resources that you want Agents to use when communicating with contacts from various sources. You may have multiple sources being handled by the same agent, but you can choose different knowledge library items per source (each business usually has their own info to upload like websites, documents, etc.)
Open Knowledge Library ▷ New Upload.
Pick any of:
Web Scrape: single page or full sitemap (auto‑refreshes every 24 h).
Note: free‑form text.
File Upload: PDF, CSV, XLS(X), etc.
After upload, assign the data to specific Sources
