Agency Plans have the ability to rebill usage costs to clients. This is the best way to earn usage-based income for your agency through CloseBot. We allow you to rebill message response costs, user seats, storage and AI Provider costs (billed from the AI Provider directly and estimated by us).
Enabling Rebilling
To enable rebilling, first make sure you are on an Agency Plan. You will then be able to go to Account Settings → Agency → Rebilling where you will see a toggle to Enable Rebilling.
Upon activation, you will be directed to a Stripe Connect page that will allow you to connect your Stripe Account to CloseBot (or you cna set up a new Stripe Account at this time)
⚠️ CloseBot only allows rebilling through Stripe. If you cannot use Stripe, you must use the CloseBot dashboard to track client usage and bill outside of the CloseBot platform.
Setting Rebilling Amounts
Once you have connected your new or existing Stripe account, you will be able to set up your rebilling rates. See the example below where we've chosen to rebill:
Message Responses → $0.02
User Seats → $100
Storage → $0
AI Provider Tokens → 0x
Message Responses
CloseBot charges you a rate of $0.006 per message, deducting from your wallet over time. You can choose to mark up this per-message rate and pass it on to your clients. Most agencies choose to do this instead of marking up AI Provider Tokens, which have a variable cost that can be difficult for your clients to comprehend.
User Seats
CloseBot charges you a rate of $5.00 per client per month. This is billed at $0.0069 per hour per user (this comes out to $5.00 per month), deducting incrementally from your wallet. You can choose to mark up this user cost and pass it on to your clients. Similarly, they are incrementally charged hourly in case they add/remove users mid-way through the month.
Storage
Storage is billed to you at a rate of $0.006 per MB per day. Again, this is calculated and deducted from your wallet hourly. You can (and should) rebill your clients for this, since they will be able to add their own uploads to the knowledge library section of their account. The more they upload, the more you get paid!
AI Tokens
Token costs are billed from the AI Providers that you use. We track the costs for you and you have the ability to rebill this cost to your clients. Keep in mind, token costs vary drastically per AI Provider and per message. It may be best to inflate the costs you rebill per message and leave this set to 0x instead of explaining the highly variable cost to your clients. But... it's your business and you have the freedom to rebill how you want!
Turning Rebilling on Per Client
Once you have the above set up, you can enable rebilling per client by going to Sources → Edit Source → Rebill.
Here you can enable rebilling for this single source. This must be done for any source that you would like to rebill.
After enabling, press the Save and Close button. A new customer will be created within your Stripe account. When completed, you can choose to open the settings again to set payment methods or buy credits, or save those steps for the client if they are paying for a seat. It will look like this for either of you.
With this view, either you or your clients can add payment methods and set auto reload rates.
Summary
Rebilling is a powerful feature in CloseBot that allows agencies to build entire businesses around creating and managing lead qualification and booking agents for clients. Your clients load their wallet, which pays you money and you load your wallet to cover the wholesale cost of usage due to CloseBot.
